Digitally sign FAX Archive
In most industrial countries it is nowadays defined that electronic documents are not legal documents unless they are digitally signed and timestamped. That applies also FAXes which are not sent or received with a plain old analogue FAX Machine.With the Aloaha PDF Suite Server Professional it is pretty easy to sign documents fully automatic. It is possible via tosign hotfolder or just via the printer driver.
Signing of FAXes via Aloaha PDF Suite Printer Driver
First you need to install the Aloaha PDF Suite Server from http://www.aloaha.com/download/aloaha_pdf.zip.After you installed the Aloaha PDF Suite it is per default in application mode. That means the process is started via startup/autostart group. It is very easy to run Aloaha also as a Windows Service. Just remove the startup/autostart entry and start the PDF Suite Service. Please note that during evaluation it is more comfortable to leave Aloaha in Application Mode.
In the Aloaha FAX Suite GUI you need to add now a printer. Just go into the printer dialog and add Aloaha PDF Printer as the new printer. In the printing dialog you need to configure which FAXes you want to have printed to Aloaha PDF Suite so it can digitally sign them.
As soon a FAX is now being printed to Aloaha PDF Suite you will see a preview popping up. Obviously you want to have the signing process automated so you right click on the grey Aloaha System Tray Icon and disable Interactive.
In Advanced Settings you enable the following options:
"Process all Print Jobs", "Enable Save to Folder" and "Enable Automation".
Additional you could disable "Disable Mailing". In that case Aloaha will send all signed FAXes to the Aloaha PDF Suite default mailbox.
Last but not least you need to configure the digital certificate to be used and the default mailbox. Please right click on the grey Aloaha system tray icon and choose "Settings". A dialog will pop up now. There you can configure default values such as save path, hardcopy printer, signing certifcates, timestamping authority and of course the default mailbox.
The configuration of the default mailbox is a bit hidden. You need to click in the email settings dialog on the labels such as server, user or password to get the required dialog!
